ACCESSING YOUR FVTC ACCOUNT
Your FVTC ID and Username
Your FVTC ID number and username will be sent to you and your hiring manager via email once your account has been created.
Your username for our sites is your nine-digit FVTC ID number followed by "@fvtc.edu" (example: 123456789@fvtc.edu). Our sites do not allow you to sign in with your email address—you must enter your username. If your computer or web browser automatically populate your email address on our Sign in page, please select the lower option to "Use another account" where you will be prompted to enter your username.
Your FVTC Password
Once you have your FVTC ID number, you’ll need to set the password for your account.
To set or reset your password, visit www.fvtc.edu > EMPLOYEES > RESET PASSWORD
In the Email or Username prompt, enter your FVTC username. You must enter your nine-digit FVTC ID number followed by "@fvtc.edu" (example: 123456789@fvtc.edu). Our sites do not allow you to sign in with your email address—you must enter your username.
Multi-Factor Authentication (MFA)
One Big Thing
You must use Microsoft multi-factor authentication (MFA) to access FVTC systems.
Why it matters
MFA adds a second step to your login, helping protect your personal, academic, and financial data from unauthorized access.
What to do first
- Sign in with your username and password
- Create your MFA authentication method
Bottom line:
- No MFA step = no access to FVTC secure systems

Complete Onboarding Tasks within Workday
Workday is our system containing HR, training, and student information, including courses, rosters, and where grades are recorded.
To access Workday, visit www.fvtc.edu > EMPLOYEES > WORKDAY
Sign in with your FVTC username, password, and complete Multi-Factor Authentication.
Look for the My Tasks icon in the top right corner. You should see a red circle with a number notifying you of outstanding tasks. Click on My Tasks to see what onboarding tasks you need to complete.

Blackboard is our Learning Management System and primary online class resource for all of your classes, assignments, tests, and projects.
Your instructional department contact is your primary resource for the curriculum within Blackboard.

FVTC ID and Username
Your students will follow the same process as you regarding their FVTC ID and username.
Your FVTC ID number and username will be provided to you upon successfully creating an account within MyFVTC. You will also receive this information in your welcome email.

Enrolling in Multi-Factor Authentication (MFA)
Unlike your Dual Credit instructor account, your new student accounts will not have a phone number automatically pre-populated on their account and they will need to enroll in Multi-Factor Authentication. The following information will be relevant to their sign-in experience.
The first time you sign in to your account, you will be prompted and required to enroll in Microsoft Multi-Factor Authentication (Microsoft MFA). Click Next to continue.
You will be required to Keep your account secure by setting up one or more MFA methods. The recommended default method is to install the Microsoft Authenticator app. The Microsoft Authenticator app is available for free download for most major smartphones with the Download now link. Once downloaded onto your smartphone, click Next.
If you cannot or do not wish to use the Microsoft Authenticator app, you may select the link at the bottom: I want to set up a different method (skip to the bottom of this guide to continue with instructions to setup a different method).
On your phone, open the Microsoft Authenticator app and add an account, selecting "Work or school". Click Next.
On your phone, select the option to Scan QR code. Point your phone's camera at the QR code generated on your screen.
Microsoft will provide you with a 2 digit number and prompt you for it in the Microsoft Authenticator app on your smartphone. Enter it and click Yes in the Are you trying to sign in? prompt.
Once the Notification is approved, click Next.
You will receive confirmation that are successfully enrolled and have the Microsoft Authenticator app set up as your Default sign-in method.

What is Multi-Factor Authentication (MFA)?
The Big Picture
Multi-Factor Authentication (MFA) helps protect your account by requiring two steps to verify your identity when you sign in.
Why it matters
Even if someone gets your password, they still need access to a trusted device or security method linked to your account.
How MFA works:
- Something you know: Your password.
- Something you have: A trusted device or security method registered to your account, such as:
- A smartphone
- An authenticator app
- A hardware token
- A security key
What happens when you sign in:
- Enter your username and password.
- Verify your identity using your registered device or security method.
- Complete the sign-in process.
Bottom line
MFA makes your account more secure by requiring both your password and a second form of verification.
Why is FVTC requiring me to use Microsoft Multi-Factor Authentication (Microsoft MFA)?
The big picture
MFA helps protect your account and the sensitive information in contains.
Why it matters
Even if someone steals or guesses your password, MFA makes it much harder for them to access your account.

What authentication methods can I use for Microsoft Multi-Factor Authentication (Microsoft MFA)?
- Passkey (preferred)
- FVTC's recommended method
- Syncable in Microsoft approved cloud options, including iCloud and Microsoft options.
- Microsoft Authenticator App
- Free for iPhone and Android
- Approve sign-ins in the app using number matching
- Authenticator app code
- Generate a one-time password (OTP) in an authenticator app.
- Supported apps include:
- Microsoft Authenticator
- Duo Mobile
- Google Authenticator
- Hardware Token
- Generate a one-time password (OTP) using a physical token device.
- Available through the FVTC IT Helpdesk
- FIDO2 Security Key
- Use a FIDO2-compliant hardware key, such as a YubiKey. Users must bring their own - FVTC does not provide these.
How do I install and set up the Microsoft Authenticator app on my smartphone?

Where do I get the Microsoft Authenticator smartphone app?
The Microsoft Authenticator smartphone app is available for free from the Apple App Store for iOS devices or the Google Play Store for Android devices. Download it on your smartphone here.
The correct app will look like this and is provided by Microsoft Corporation:
How do I add my FVTC account to the Microsoft Authenticator app on my smartphone?
Visit MFA.fvtc.edu and follow the prompts to + Add sign-in method and choose Authenticator app. It will guide you through adding the app and your account.
If you do this from a computer, you will need to scan a QR code from within the Authenticator app as follows:
What is "number matching" in the Microsoft Authenticator smartphone app and how does it work?
Number matching within the Microsoft Authenticator app requires you to confirm and enter a number after responding to each push notification. When you respond to an MFA push notification using the Microsoft Authenticator app, you'll be presented with a number.
You will need to confirm the sign in attempt and type that number into the app. Tap "Yes" to complete the approval.
*Note: Number matching prevents a vulnerability called "MFA Fatigue" where threat actors gain access to secured systems by bombarding a user with repeated push notifications which ultimately get approved either by accident or out of annoyance with the nonstop notifications.
What if I don't have a smartphone?
The big picture
You do not need a smartphone to use Microsoft MFA at FVTC.
Why it matters
You can still securely access FVTC systems using alternative verification methods.
Your option
Hardware token
- Use a physical device that generates a one-time password (OTP).
- Available through the FVTC IT Helpdesk.
Bottom line
A smartphone is recommended, but FVTC also supports hardware tokens.
What if I'm in an area with no cellular service or available Wi-Fi connection?

An Authenticator app on your smartphone (such as Microsoft Authenticator, Duo Mobile or Google Authenticator) can still be used, even if you're in an area without cellular service or Wi-Fi connection. Within the app, you can generate a one-time password (OTP) code which can function even if you're offline.
If you are prompted to approve a Microsoft Authenticator push notification and you are unable to do so due to lack of cellular service or Wi-Fi connection, click the option that says "I can't use my Microsoft Authenticator app right now".
Next, click the option to "Use a verification code"
On your phone, open the Microsoft Authenticator app and tap on your Fox Valley Technical College account.
You'll be presented with a one-time password (OTP) code that lasts for 30 seconds.
Enter this one-time password (OTP) code in the sign in prompt and click "Verify"

A Hardware Token operates entirely offline and is able to generate a one-time password (OTP) code without any cellular or Wi-Fi connection. Please contact the Fox Valley Technical College IT Helpdesk to discuss and request this device.
Are Apple Watch or Android wearable devices supported with the Microsoft Authenticator app?
Apple Watch and Android wearable devices (such as Samsung Galaxy Watch) are currently incompatible with Authenticator's number matching security feature. For this reason, the Authenticator app must be opened from your smartphone to complete the number matching prompt.
What if I forget to bring my smartphone (or other authentication method) with me and still need to login?
Please call the Fox Valley Technical College IT Helpdesk to request a Temporary Access Pass. This is a limited-access password code which can be used for up-to 8 hours.
What if my phone number changes or I lose or replace my smartphone (or other authentication method)?

What is a Hardware Token and how do I use it?
A hardware token (sometimes referred to as an authentication token) is a small battery-operated device that fits on your keychain. It has a small screen and one button—each time you press the button, a unique one-time password (OTP) code is generated and displayed on the screen.
To use this device, you will login to the online system that requires Microsoft MFA. After entering your password, you may be prompted to select your two-step verification method. Click or tap "Use a verification code".
On your Hardware Token, press the button to generate a unique one-time password (OTP) code. Enter this code at the prompt and click or tap "Verify".
A Hardware Token can only be used to generate a one-time password (OTP) code once every 30 seconds. Each OTP can be used only once. The battery in a Hardware Token is estimated to last three to five years, after which point the device must be replaced.
Individuals may have only one Hardware Token assigned to their account.
