Student Support | Microsoft 365 and Email Policies & Procedures
The big thing:
Your access to an FVTC email address and Microsoft 365 depends on your student status.Why it matters:
Access can end after graduation or inactivity. Plan ahead to save files, move email, and avoid losing data.Choose your group for information on if and when you get an FVTC email, rules regarding your Office 365 account, when you will lose access and how to transition your Office 365 account.

Declared Program Students
You get an @fvtc.edu email account.
- Automatically becomes your preferred email address on record.
- Sign in through the FVTC Student Email Login portal.
- FVTC communicates with you through your FVTC email account.
What happens when I graduate?
- Microsoft 365 access ends 1 year after graduation.
- You'll receive a warning email 30 days before deactivation.
- On the deactivation date, you lose:
- FVTC email
- OneDrive files
- Microsoft 365 services
Good news: Transcripts, grades, and class history remain available through MyFVTC.
If you enroll in another program: Your FVTC email and services stay active.
Before Your Account is Deactivated
- Create a personal email account (Outlook, Gmail, Yahoo, etc.).
- Tell contacts to use your new address.
- Update third-party accounts using your FVTC email.
- Export email, contacts, and calendars if needed.
Files
- Download OneDrive files before deactivation.
- Move them to:
- Personal OneDrive
- Google Drive
- Dropbox
- External storage (USB drive, hard drive, etc.)
Enrolled but Not Yet Admitted to a Program
You do not receive an @fvtc.edu email until you're admitted.
- FVTC uses the preferred email listed in MyFVTC.
- You can update that email anytime at MyFVTC Account Access.
You still get Microsoft 365 online services, including file storage.
Access ends:
- After 365 days of inactivity.
- A notice is sent 30 days before deactivation.
Before deactivation
- Download OneDrive files before deactivation.
- Move them to:
- Personal OneDrive
- Google Drive
- Dropbox
- External storage (USB drive, hard drive, etc.)
I take a training in Criminal Justice, AMBER Alert, APICS, Supply Chain, or Business & Industry Training
You do not receive an @fvtc.edu email address.
- FVTC uses the preferred email listed in MyFVTC.
- You can update that email anytime at MyFVTC Account Access.
You still get Microsoft 365 online services, including file storage.
Access ends:
- After 365 days of inactivity.
- A notice is sent 30 days before deactivation.
Before deactivation

I am a high school student taking dual credit classes
You do not receive an @fvtc.edu email address.

You still get Microsoft 365 online services, including file storage.

I am a Community Member taking individual classes
