OneDrive | Files On-Demand on Windows

The big picture:

Files On-Demand is ON by default at FVTC, letting you see all files without using local storage.

Why it matters:

You save disk space while still accessing files when needed. You control what stays on your device vs. in the cloud.
Note: Computers at Fox Valley Technical College have the feature Files On-Demand turned ON by default (This is enforced by Policy). On personally owned devices you can turn this feature on or off at your discretion.

How it works

  • Blue cloud icon = Online-only
    Example 1
    • File lives in OneDrive, not on your device
    • Opens only when connected to the internet
  • Opened file = Locally available
    example 2
    • Downloads to your device when opened
    • Works offline afterward
    • Right-click → Free up space to return it to online-only
  • Green check = Always on this device
    example 3
    • File stays downloaded
    • Available anytime, even offline
    • Takes up disk space

What you can do:

  • Keep files offline: Right-click → Always keep on this device
  • Free space: Right-click → Free up space

Quick Answers

  • Does online-only delete files?
    No. Files stay in OneDrive and are accessible via web or mobile.
  • Can I change the setting?
    • FVTC devices: No (policy enforced)
    • Personal devices: Yes
