Establishing a Microsoft Teams videocall with a student to complete Identity Verification

This KB Document describes the recommended steps staff may take to establish a videocall with a student as a means to complete Identity Verification. This process may be used to comply with FVTC Policy for verifying a student's identity before releasing any information or taking certain actions pertaining to a student account.

Inside Microsoft Teams, go to the Calendar tab.

Select Meet now.
Meet Now

Customize the Meeting Name to a standard name for your department or team. Example: "Fox Valley Technical College - ID Verification" or "FVTC Admissions - Identity Verification". Click Start meeting.

Set a background filter with a standardized image as approved or recommended by FVTC Marketing. Examples of approved FVTC Teams Background images can be found here: SharePoint - Marketing - Logos & Templates. To do so, select Background Filters, and under Background settings, click Add new to upload a standard background image, or select one if you've already added one.

Verify your microphone and camera settings, and click Join now.

Click the Add participants button.

OPTIONAL: If there are any additional FVTC staff required to join the call, search for them by typing their name in the Invite someone or dial a number box and click Request to join. Examples include language translator, cross-functional assistants, etc.

OPTIONAL: Enable the meeting lobby. Click More > Settings > Meeting options. Under Security, modify the dropdown Who can bypass the lobby? to Only organizers and co-organizers, and click Save.

Select the Share invite button in the upper right to copy meeting link.

Share this meeting link with the student using your normal process, such as in an email from a shared mailbox. An example of an email is as follows:

Thank you for contacting us. I apologize, however to protect the security and privacy on all Fox Valley Technical College accounts, we do need to verify your identity before I'm able to make changes to your account or exchange any personal information. We would like to speak with you via Microsoft Teams videocall so that we can privately and securely ask you a few questions pertaining to your account information. From a computer, you should not need to download any software or application, and can join this videocall within a standard web browser. On a mobile device, you may be asked to install the free Teams app from your app store.

At your earliest convenience, please use the following link to join our Microsoft Teams meeting where I will be waiting for you to join:

You will not need to sign-in with your FVTC or Microsoft account. If prompted, please opt to "Continue on this browser" and join the meeting as a guest. Your browser or device may prompt you to "Allow" the use of your camera and microphone, and after you will be prompted to type your name and click Join now.

IMPORTANT: We may ask you to hold a government issued or Fox Valley Technical College Student photo ID up to your camera, so please prepare for our videocall by having one available.

If you optionally enabled the meeting lobby, you will be notified in the meeting when the student joins that they are Waiting in lobby. During this time, the student will be informed: "We've let people in the meeting know you're waiting." Click the green checkbox when ready to admit them to the meeting.

Complete your videocall interaction in compliance with the Student Identity Verification policy and Student Identity Verification Procedure. Once complete, you may Leave the meeting to end the videocall. Note: If you leave the videocall before the student, be mindful that they'll be left alone in the meeting, so it's best to instruct them how to leave the meeting before you do.
